Your web account and knowledge

Your email is used to sign you in. Notes you save to the web library are stored with Supabase and are restricted to your account. Vercel hosts this website and its server-side requests. When you sign in to ideapop for Mac, knowledge syncs with this same account. Each account has a separate offline cache on your Mac. Signing out locks the workspace and clears the shared-search query cache; it does not erase cached account data from disk.

Your web conversation history

When you import a session export or finish a conversation while signed in to the Mac app, its transcript, AI prompts, and last captured screen text are stored in Supabase and restricted to your account. Internal context/debug logs, audio, and screenshots are not imported. You can export or permanently delete a conversation from its detail page. Completed sessions are saved locally first and then synced when signed in. Offline changes retry while the app is running. Existing local sessions stay local unless you explicitly copy them to an account.

Post-session reviews

New Mac sessions record text transcripts, displayed suggestions, decision events and text model requests/responses independently of Debug. After a completed session, this evidence uploads to your private Supabase account for a queued server-side OpenAI review of your answers and ideapop’s guidance. Uploads resume while the Mac app is open; once upload completes, scoring continues in the cloud even if the app closes. This can include private knowledge excerpts that were actually used in prompts. Credentials, raw audio and screenshot pixels are excluded. Detailed evidence is retained for up to 30 days (local cleanup runs when the app syncs); the final report and its quoted evidence remain until you delete the conversation. Deleting history removes its cloud report and detailed evidence; local copies are removed on the next sync. Requests use store:false; provider operational retention still applies. AI scores are advisory, not hiring predictions. We report missing evidence and do not automatically repeat model requests whose execution is uncertain.

Your conversations on Mac

The Mac app captures microphone and system audio for captions, and reads screen text when enabled. Speech recognition requires local processing by default; Apple network recognition is an optional setting. With AI enabled, relevant transcript excerpts, screen text and selected local knowledge are sent to the configured model service. When screen images are enabled, relevant screen crops may also be sent to OpenAI for code, diagrams or uncertain text recognition. ideapop is excluded from capture. Quick prompts send images directly to the configured model service; Insights sends them through the authenticated Vercel service to OpenAI. Images are held temporarily for the request, are not saved to conversation history or Debug, and are never included in public web research. You can disable screen images in Inputs. Raw audio is not sent to OpenAI.

Shared references

During a conversation, ideapop may send a bounded set of question and role keywords to its authenticated search endpoint on Vercel and Supabase. It does not send your full conversation history, résumé or private notes as a shared-search request. Public reference excerpts used in prompts can be stored with your private conversation history. Query results are cached in memory for up to five minutes and cleared on sign-out. Post-session evidence may include the retrieval terms and results used for your conversation; hosting providers may also keep operational logs. Detailed retrieval diagnostics are visible in Debug and your private report timeline.

Personal preparation

When you save a preparation target, ideapop can analyze your saved private notes through its server-side OpenAI connection. It sends the target, job description, preparation requirements and bounded sections of your notes to suggest matching evidence and follow-up questions. Results and your confirmed story links stay in your private account and sync between Mac and web. Requests use the provider’s no-response-storage option; provider operational retention policies still apply. The app does not log note bodies or complete model inputs. Editing or archiving material invalidates its previous analysis. Public examples are never evidence of your personal experience.

Credentials and storage

The Mac app stores your API key and account session tokens separately in macOS Keychain. Your password is not saved by the Mac app. The website does not ask for your model API key. Your account uses sign-in cookies. We have not added advertising trackers or analytics SDKs; hosting providers may keep operational and security logs.

Removing information

You can permanently delete individual web conversation records, or archive and restore library items. Archiving is not permanent deletion. For account or permanent data deletion during this private beta, contact the person who invited you to test ideapop.
